Job Description

PROCUREMENT SYSTEM AND CONTRACT ADMINISTRATOR (6 Months Contract, remote working)

The Procurement System Administrator manages and configures applications in EAM* and enables the installation, security, customization, and modification of applications.

* Enterprise Asset Management System (EAM) is an asset management system which enables Genel Energy to improve capital asset management. It is also used to manage Procurement Processes from requisition to payment phase.

RESPONSIBILITIES EAM SYSTEM

  • To master the work flow of all modules used in EAM system.
  • To master every step of the operation of the customized EAM system used by the Company.
  • To develop workflows when necessary and ensuring that they are implemented to the EAM system.
  • To have sufficient authority for changes and updates to be made in the EAM system and to make these changes when necessary.
  • To forward EAM System User problems and requests to the appropriate ICS support team; and establish necessary communications and implementing solutions.
  • To work with ICS to apply, test and verify fixes/patches to EAM System.
  • To lead and support any EAM System upgrade/change projects.
  • To identify defects of the EAM System and communicating to ICS Team and/or the Consultant Firm.
  • To act as a liaison between the Consultant Firm and EAM System Users for problem resolution.
  • As part of the EAM Support team, analyse incoming calls and e-mails and reach the most appropriate solution.
  • To train new EAM Users
  • To provide the necessary training and support to users who request training again.
  • To support EAM Users in registering EAM Records whenever they need.
  • To develop and maintain EAM System reports.
  • To run queries and generate ad hoc reports.
  • To troubleshoot and solve technical problems.
  • To establish relationships with all levels of the organization and have the ability to communicate effectively with department heads, managers, leads and staff.

RESPONSIBILITIES Contract Administration

  • To provide assistance with day-to day contracts management, including
  • Bachelor’s degree
  • Fluent in written and spoken English
  • At least 2 years of experience in Procurement or System Administration
  • Experience in EAM System would be an asset, especially with Infor
  • Excellent communication skills
  • Excellent problem-solving skills
  • Previous contract management experience would be an asset
  • Highly responsive and professional engagement with all stakeholders
  • Excellent attention to detail
  • Experience of working within an international team a benefit
  • Ability to deal with people at all levels
  • Issuing transactional low value contracts
  • Issuing service / purchase / change / call off orders
  • Contracts data management in the EAM system
  • Record keeping
  • Maintenance of departmental filing
  • Assistance with administration of tenders
  • General technical assistance to members of Camp;P team
